Guest user configuration
To configure a guest user's access, open your mLabs account Dashboard (home screen) and click on the Manage users option located in the top right corner of the screen.
Once the page loads, click on Add new:
The screen to add a new guest user will be displayed with the Email and Name fields available.
Fill in the fields with your guest's details and click Continue.
Note: if the user already has an active mLabs account with the email you entered, this information will be validated with an alert: “Great! This user already has an mLabs account. Click continue to finish the access permission settings” and the Name field will be filled in automatically.
After entering the guest's data, you will be directed to the Permission Settings screen. Within it, you will have the option to grant Full Access to all active profiles in your account and also apply this permission to new profiles created in the future.
To do this, just leave the “Full access” and “Apply permission to new profiles” fields checked and click Next:
If you prefer, you can also grant personalized access to your guest. Check the procedure below.
How to define personalized permissions for guest users?
Still on the “Configure permissions” screen, click on the “Personalized permissions” option:
Select the features that should be released to the guest and the access level for each of them.
The available items are:
Channel connection;
Schedule post and Calendar;
Reports and Monitoring;
Workflow;
Ads.
Enable the features that your guest will be able to manage and determine the access level for each of them.
Note: when enabling the permission, the access levels will be displayed with a description of what each one represents. For example, if you leave the Channel Connection permission activated, you will see the following definitions for each access level:
Full access: Allows connecting/disconnecting channels (Facebook, Instagram, TikTok, Twitter, Google Business Profile, Pinterest, LinkedIn, Youtube);
Read-only: Does not allow connecting/disconnecting channels (Facebook, Instagram, TikTok, Twitter, Google Business Profile, Pinterest, LinkedIn, Youtube).
After choosing the desired options, you can apply them to all active profiles in your account or only to selected profiles.
To apply to all profiles, leave the "select all profiles" icon active:
Note: you can also clear the established selection by clicking on "clear selection":
To validate the assignments only to the selected profiles, click on "apply to selected":
If the guest should have a specific access level for each active profile in the account, it is possible to configure it individually.
How to define personalized permissions by profile?
Scroll down the “Configure permissions” screen to view the list of profiles:
In front of the profile name, click on the arrow icon located next to the personalized access level.
Next, enable the permissions you want for that profile:
Workflow Permissions
To grant access permission to the workflow tool to guests, you can choose between 4 distinct access levels. They are:
Full access: Allows access to all Workflow stages (create demand, create content, approve/reject, finish, or schedule);
Creative team: Allows creating content and viewing revisions requested by approvers;
Internal approver: Allows approving/rejecting demands internally and requesting revisions;
Client (external approver): Allows approving/rejecting demands externally and requesting revisions.
Finalization
After completing the permission configuration procedure for all the profiles you want, click on the Next option:
On the last screen, the “Apps and Integrations” option will be displayed. With this, you can enable the items that your guest will be able to manage and click the Save button in the bottom left corner of the screen to finish the process:
The invitation will then be sent successfully, and the guest user will receive the access invitation to manage the authorized profiles.
